Privacy Policy – Rhona McLachlan Humanist Celebrant, Celebrate People
As a celebrant of Celebrant People, I create ceremonies which are bespoke, spiritual, humanist
ceremonies. This includes but is not limited to weddings, civil partnerships, funerals, naming
ceremonies, and vow renewals. In order to create and perform a ceremony which is unique to you, I
require to collect certain personal information about you, you family, and your friends. All of my
ceremonies are conducted as a celebrant of Celebrate People and in line with our Belief and Mission
Statement.
You have certain rights in relation to data and this policy is to ensure that you are aware of the
information I collect, who it might be shared with as well as how long it is stored and how it is
deleted.
I also want you to know in what circumstances I might request your consent to share information. I
hope it is all clear but if you have any questions, please let me know.
Under UK GDPR and Data Protection Act 2018. I must provide you with the following information

As a sole trader I act as data controller. I may also process information on behalf of other Celebrate
People members and I would treat information in accordance with any agreement and in a secure
way.
As part of my membership with Celebrate, I am required to ensure I make provisions for the rare
event where I am unable to conduct your ceremony- for example in an emergency or due to illness.
The directors Susan and Gerrie Douglas-Scott set the parameters of this and as such I am required to
send a copy of your ceremony by email one month before. They are the data controllers for
emergency ceremonies. Your information would only be accessed in those circumstances and
deleted within a week after your ceremony. They can be contacted at Celebrate People
I collect and use data under the category of legitimate business, contract, vital and legal interest as
below. In reference to special category data (this includes race, ethnic origin, religion, sexual
orientation, gender) I only collect this information with consent, where you have included this as
part of your ceremony information or where this is required for legal reasons.
I collect and use your information in the following ways:

Personal information in order to help you to create your ceremony

As part of creating ceremonies I may collect information from you about your friends and

family which may include names and stories about them which are central to your

ceremony.

Photographs that you have given me for the purpose of the ceremony

When you make secure financial transaction for payment

From 3rd parties eg funeral directors passing information on your behalf, other celebrants,

your friends and family where relevant

If clients get back in touch with me for future services, I will have a copy of your ceremony

for 2 years and may use this to refresh.

Who I share information with

The registrar where this is required or requested in relation to legal marriage

Funeral directors may require certain information particularly where you have contacted me

directly

Other vendors: eg photographers, venues, florists may require certain details about aspects

of your ceremony in order to ensure everything runs well Also remember, during your

ceremony all the personal details you have agreed will be heard by everyone present.

With Celebrate People, so that they are able to access your ceremony and/or contact you in

the event of ill health or other emergency. This would be to arrange cover for your

ceremony.

With processor to access my diary and future ceremonies to alert celebrate people - this

would only be used in exceptional circumstances where I am unable to access and share this

information myself, or for safety eg if I do not return at an expected time. A data sharing

agreement is in place.

with Celebrate People peers to request advice/guidance or for professional development.

Where this involves sharing your ceremony this would be anonymised unless with consent.

Where there is legal requirement, with authorities, insurers or relevant others.

With relevant people if there is a requirement under vital interests eg protection of life

Although I do not transfer data personally to 3rd countries, I do use electronic applications eg

Google drive which may occur in the use of their servers . This is covered by the adequacy

decision which means that it has been agreed these countries have an equivalent level of

security.

In addition to the above, I collect the following with Consent.

From time to time I will contact to ask if I can use details of your ceremony or photographs

for example on our website, for an article, or on social media.

If you make an enquiry to ask me to conduct a ceremony that I am not available to conduct, I

will ask consent to check availability of other colleagues in order to assist

From time to time I may ask to share your ceremony or photos with other celebrants for

peer review or learning. If this includes your details, I will ask consent.

Your right to see info held, object or to ask for data to be removed

You have the right to obtain information held about you and for this to be transferred to you (data portability). This can be done so by submitting a request in writing, I may ask for proof of identity in these instances.
You can object to me processing data –depending on what the objection is this may affect my ability to conduct ceremony eg if it is something required to do so.
You can request that I delete information held on you and where possible I will do this. However, please note that some information may be required for accountancy or legal purposes (for example if a complaint is raised or HMRC records).
You also have the right to request information held is rectified if incorrect.
Please note also that if you have given me details on any person other than you (for example in your ceremony), they have the right to request the source of that information.

Review
I have reviewed this on 08/09/24 and I will review on 8th September 2025 or if before if something urgent comes to light. In this case I will provide you with an update to the privacy policy if it affects you.
